Refund &
cancellation.
maildx does not charge customers today, so there is nothing to refund and no cancellation fee. Here is what you can expect, and what will apply when paid plans arrive.
Effective Date: October 14, 2026 Last Revised: October 14, 2026
This policy explains how cancellation and refunds work for maildx. It forms part of our Terms of Service.
1. Current position: maildx is free to use
maildx does not currently charge customers. We are operating pilot workspaces at no cost, and there is no payment method on file and no billing cycle running.
Two practical consequences:
- There are no charges to refund. No fee has been taken, so no refund is owed or possible.
- You can stop at any time, at no cost. There is no notice period, no cancellation fee, and no minimum term. If you no longer wish to use maildx, simply stop using it, or ask us to close your workspace.
This section will be revised before we introduce paid plans, and the policy below will apply from that point.
2. Cancellation
When paid plans are introduced, the following will apply.
- Cancel any time. You may cancel from your workspace settings or by writing to
billing@maildx.dev. There is no cancellation fee and no minimum commitment. - Service continues to the end of the period. Cancellation stops the next renewal. Your workspace remains available until the end of the period you have already paid for, so you are not cut off mid-month.
- Your data is exportable. Before or after cancelling, you can export all conversation history and records. The Privacy Notice describes how.
- Deletion after cancellation. Customer records are permanently and irreversibly purged from production databases within 30 days of termination.
3. Refunds
When paid plans are introduced, the following will apply.
- Monthly plans. If you cancel mid-month, the current month is not refunded; service simply runs to the end of the paid period.
- Annual plans. If you cancel an annual plan within 14 days of the initial purchase and have not exceeded reasonable usage, we will refund the unused portion. After 14 days, the remaining term is non-refundable, but the workspace stays available until the term ends.
- Service failure. If maildx is unavailable for a sustained period through our fault and you do not wish to continue, we will refund the unused portion of prepaid fees on request. This is a goodwill commitment, not a service-level credit or a guarantee of uptime.
- Misuse. Fees are not refunded where an account was suspended for breaching our Acceptable Use Policy or Terms of Service.
To request a refund, write to billing@maildx.dev with your workspace name and the invoice reference. We aim to respond within 5 business days and to process approved refunds within 10 business days to the original payment method.
4. Taxes
Where applicable, refunds are issued for the amount actually paid. Taxes already remitted to a tax authority may not be recoverable and may be excluded from the refund.
5. Price changes
If we change prices, we will give existing customers at least 30 days' advance notice before the change applies to them. You may cancel before the new price takes effect. A price change never applies retroactively to a period you have already paid for.
6. Free pilots
Pilot workspaces are provided free of charge for evaluation. Pilots may be ended by either party at any time. Because no fee is charged, no refund or compensation arises from ending a pilot.
If you are running a pilot and later convert to a paid plan, this policy applies from the date of conversion.
7. Chargebacks
Please contact billing@maildx.dev before raising a chargeback with your bank. We will usually resolve the matter faster than the dispute process, and a chargeback raised without contact may result in the workspace being suspended while the dispute is investigated.
